About the Family

A busy two-career couple with a young child and pups who travel nearly everywhere with them. They move around quite a bit but their roots and extended family are in Kansas City, where much of this role's hands-on work happens.

They are understated, hands-on people: they cook most nights, spend time outdoors, love the creative side of planning trips and projects — and would happily never touch the logistics again. That is where you come in.

The Role

You will be the family's single point of contact for the practical side of their life: a rotating slate of projects, homes and vendors in several states, travel, and family logistics. You work through a network of caretakers, contractors, and the family's professional advisors — you are the only employee, and you are the one who makes sure every open item has an owner, a date, and a next step.

Every decision stays with the family. Your craft is bringing them decisions as clean, well-researched options — two or three good choices, clearly framed — and then executing the choice and carrying things forward.

The family likes to take on challenging projects and much of the work might include creative problem solving and carrying forward these ideas, finding ways to move these efforts forward. The role calls for someone who can take that direction and carry it forward as their steady go-between — making the unusual asks and seeing these ideas through to completion. They are the kind of people who don't accept “that's how it's always been done” as a reason why something isn’t possible, so having the ability to research, seek out new and creative approaches, and work with others to figure out solutions is very helpful for this role. 

What You'll Do

  • Run projects: a rotating slate — right now: completing small home improvement projects, setting up a rental unit, storage-unit clean-outs, supporting a family cabin renovation, land and conservation projects, and admin support for a small charitable fund. Plus a steady stream of small ones: mailings, returns, and the like. 
  • Support a grandparent's home projects: a meaningful, recurring part of the role. Help lead a house clean-out and organizing effort; coordinate donations, haulers, and small vendors; and keep a steady stream of household projects moving — all at the grandparent's direction. Up to a day or two a week during busy stretches. Grandparent's live in Kansas City.
  • Make travel effortless: research flights, stays, and charters; present options; then handle everything after the pick — bookings, ground transport, provisioning, and help transporting their much-loved dogs.
  • Property Management: coordinate caretakers and vendors at each home; own mail and maintenance follow-ups; be the first call for the burst-pipe emergency; and have homes ready before the family lands — fridge stocked, car ready, pickups set — often traveling ahead of them.
  • Support the family: childcare scheduling and backup coordination (the parents lead); dog care and travel arrangements; small events like dinner parties and family gatherings; errands when asked.
  • Run the admin quietly: routine household bill payments on a monitored account (the family's accountants reconcile); signatures, IDs, and renewals; the waiting-on-hold kinds of work — service calls, returns, claims; a records vault that keeps medical and key documents organized and at hand; domains, accounts, and address changes.
  • Work the interfaces: help coordinate and interface between all of the various service providers.
  • Keep the loop board: keep a shared tracker of every open item; run a 30-minute weekly review with the family; chase signatures, renewals, and documents until they are done.
  • Build for continuity: simple written procedures for everything recurring, documented backup coverage when you are away, and a light re-scope of the role every six months as projects turn over.

Who You Are

  • An organized self-starter with an operator's mindset — any experience in project management, hospitality, operations, executive assistance is beneficial but not required.
  • Genuinely willing to travel — this role moves. Regular trips, sometimes multi-day and sometimes ahead of the family, are part of the job rather than the exception.
  • Steady and able to multitask.
  • Meticulous, quick to respond, discreet, and a clear writer.
  • Value-conscious by instinct: able to help negotiate prices and seek out fair prices. You’re able to handle the family’s money as if it’s your own.
  • Comfortable with dogs, babies, and contractors — sometimes all at the same time.
  • Fluent with modern tools, ideally including AI — using it for drafting, research, and option-gathering is actively encouraged here.
  • Valid driver's license and ability to work legally in the US(or willingness to get one).

Location, Schedule & Compensation

  • Kansas City preferred, but not mandatory — much of the coordination work is remote, and regular travel is part of the role wherever you sit. Strong, travel-ready candidates elsewhere will be considered.
  • Flexible, atypical schedule — roughly 40 hours a week on average with some lighter weeks and some busier stretches around projects and travel; some evenings and weekends. Prompt responsiveness is required, and hours vary.
  • $100,000 base salary + performance bonus + a tenure incentive that rewards staying and growing with the family. Renewed in four-month increments, with the hope that this turns into a long-term role. 
  • Employed as an independent contractor directly by the family; confidentiality agreement and background check required. Benefits discussed during the process.
