Estate Manager - UHNW Family - Palm Beach - 66,000 sq / 6 acre Residence

Summary:

The Estate Manager is a key individual leading the daily maintenance and operation of a large Palm Beach family estate (over 66,000 sq ft).  S/he is responsible for the flawless running of the property; including, but not limited to, managing ongoing property projects and upkeep, household staff, vendors and vendor relations, and establishing/maintaining pertinent household documents, such as household manuals and directories, while working with the property owners.

 Essential Duties and Responsibilities:

  • Meet with the Estate Owners to discuss their requirements, plans, and any upcoming events.
  • Responsible for the oversight of all Estate outside and mechanical areas, managing large maintenance projects, approved purchases, and renovations for the Estate.
  • Oversee all mechanical systems, inside structures, and outside grounds including, but not limited to, all house systems (elaborate HVAC, sophisticated lighting, AV, security, IT systems, pools, and other specialty features of the residence). Understand how the property runs in order to keep it operating at the highest level.
  • Schedule and oversee regular, periodic, and seasonal house and grounds maintenance, including sourcing vendors and ensuring best pricing.
  • Handle construction, renovations, and ad-hoc projects as requested; including mapping out the projects, understanding the needed work and scope, and obtaining vendor bids to provide recommendations for the Owners’ approval.
  • Point of contact for contractors and external service providers and oversee all work performed on the property from start to finish.
  • Prepare and maintain estate budgets for Estate Owners’ approval; review, approve, and route invoices to Owners for payment related to ongoing management and maintenance of the property.
  • Assist in managing and scheduling all non-housekeeping staff; enforce established employee procedures, standards of appearance, work ethics, and appropriate behavior.
  • A self-starter who maintains operations and maintenance files, updated vendor lists, property inspections, and project status’ updates. "Hands-On" activities will be frequently needed.
  • Help coordinate and support all holiday and social event preparations.
  • Oversee care and maintenance of family vehicles.
  • Perform projects and other duties as assigned.

 Qualifications:

  • College degree preferred, but not required.
  • At least 7-10 years of experience working as an estate manager for high profile clientele.
  • Excellent troubleshooter who should have basic carpentry, electrical, plumbing, HVAC/generator knowledge.
  • Strong conflict management, influencing, and negotiation skills.
  • Excellent customer service skills and proven ability in follow-up commitments.
  • Ability to prioritize, multi-task, take initiative, and problem solve while maintaining attention to detail.
  • Strong analytical and strategic skills.
  • Must be able to multi-task and manage a constantly changing schedule and calendar.
  • Must be a problem solver, resourceful, and have superior organizational skills.
  • Excellent verbal and written communication skills, particularly phone manners, and a professional, poised demeanor.
  • Ability to manage staff and vendors while serving as a team player; polished, poised, and remains calm under pressure.
  • Excellent attention to detail and willingness to handle responsibilities regardless of how big or small.
  • Schedule may vary but will generally be Monday thru Friday with occasional weekend requests (in advance).
  • Always maintain confidentiality.
  • Proficient in MS Office Products.
  • Valid driver’s license with a driving record that meets Company standards.

 Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to stand, sit, kneel, walk, talk, see, hear, push, pull, climb, bend, and stoop.  The employee frequently is required to stand, (for up to 8 eight hours), walk (occasionally on rough terrain/in varying weather conditions), climb, use manual dexterity to operate tools used in the course of work, hear sufficient to hear conversations in person, and via telephone and radio, and vision sufficient for distance sight and to read diagrams, computer screens, manual reports, rules, regulations, laws, and plans.  The employee is occasionally required to reach, push, and pull with hands and arms.  The employee must occasionally lift and/or move up to 50 pounds.  Physical dexterity may involve stretching, proper placement of legs, and use of arms and hands in repetitive motions.  The employee must be able to maintain constant alertness to the multiple concurrent activities occurring at the site, including the activities of other employees, and contractors, the operation of stationary equipment, and the movement of mobile equipment.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this job.
