Location: Miami, FL - Mostly remote with occasional on-site Schedule: As-needed / on-call (variable hours) Compensation: Hourly, negotiable based on experience


About the Role

We're looking for a sharp, resourceful Executive Assistant / Estate Manager to support a private family in Miami on an as-needed basis. This isn't a clock-in, clock-out role - it's a role for someone who thrives on solving problems, anticipating needs before they arise, and making complicated things look effortless.

If you're the kind of person friends and family call when something needs to get figured out - whether it's coordinating a last-minute international trip, vetting a new contractor, or untangling a logistical mess - you'll feel right at home here.

What You'll Do

  • Run point on estate operations - oversee household staff, vendors, and contractors; manage schedules, vetting, and quality of work
  • Hire and onboard - source, interview, and bring on new household or support staff as needed
  • Coordinate family travel - flights, accommodations, itineraries, ground transport, and the inevitable mid-trip changes
  • Solve problems - the role is fundamentally about handling whatever comes up, often without a roadmap
  • Bring order to chaos - organize calendars, documents, projects, and household systems so nothing falls through the cracks
  • Leverage AI and modern tools to work faster and smarter - we want someone who already uses these tools fluently in their day-to-day

What You Bring

  • Proven estate management experience - you've run a property, managed staff, and handled the full scope of household operations
  • Family-side experience - you've supported a family directly and understand the discretion, flexibility, and judgment that requires
  • Hiring chops - you've sourced, interviewed, and brought on staff before
  • Exceptional organization - calendars, systems, follow-through; nothing slips
  • Strong AI/tech fluency - comfortable using ChatGPT, Claude, or similar tools to accelerate your work; quick to adopt new software
  • Valid driver's license and willingness to be on-site as needed
  • Problem-solver's mindset - resourceful, calm under pressure, and self-directed. You don't wait to be told what to do.
  • Discretion - you understand that what happens in a private household stays in a private household
