The House & Personal Assistant serves as a highly organized and versatile operational partner supporting both the household and executive team.

This role works closely with the House Manager on daily home operations while also assisting the broader team with administrative coordination, travel preparation, and special projects.

The position requires someone who thrives in a dynamic environment where hospitality, organization, logistics, and thoughtful service intersect.

No two days look the same. One moment you may be coordinating household vendors, and the next you may be preparing travel materials or helping organize an internal project.

The goal of this role is to ensure that the home operates seamlessly while supporting the broader operational ecosystem around the principals.

Core Areas of Responsibility:

Household Operations Support

Partner closely with the House Manager to support daily operations of the home.

Responsibilities include:

  • Managing incoming packages, mail, deliveries, and returns
  • Supporting household purchasing and inventory management
  • Coordinating vendors and service providers
  • Assisting with hospitality preparation for guests
  • Maintaining organization across household systems
  • Supporting operational projects inside the home

The House Manager remains the primary leader of the home, while this role helps ensure the operational details are handled smoothly.

Hospitality & Guest Experience

Support the preparation and execution of guest visits and gatherings.

Responsibilities may include:

  • Greeting guests when they arrive
  • Assisting with hospitality logistics
  • Supporting preparation for events and dinners
  • Helping maintain presentation and aesthetics throughout the home

The goal is to ensure the home feels welcoming, organized, and guest-ready at all times.

Travel Preparation & Logistics

Assist the team with travel preparation for the principals and staff.

Responsibilities include:

  • Preparing travel packs and materials
  • Assisting with packing and unpacking
  • Advancing destinations prior to arrival
  • Ensuring necessary items and documentation are prepared for trips

This role works closely with the Personal Assistant and the Executive Assistant to ensure travel logistics are handled smoothly.

Administrative & Project Coordination

Provide administrative support across the household and executive team.

Responsibilities include:

  • Assisting with internal projects and initiatives
  • Helping coordinate timelines and deliverables
  • Maintaining organization across documents and materials
  • Supporting meeting preparation and logistics

This ensures initiatives continue moving forward efficiently.

Financial & Operational Organization

Assist with organizing household financial documentation.

Responsibilities include:

  • Tracking receipts and expenses
  • Supporting financial reconciliation
  • Maintaining organized records for reporting and accountability

Technology & Logistics Support

Provide light technology and operational support.

Responsibilities include:

  • Assisting with Zoom setup for meetings
  • Troubleshooting minor tech issues
  • Coordinating with external vendors when advanced support is required

Celebrations & Personal Touchpoints

Support thoughtful gestures and personal acknowledgements.

Responsibilities include:

  • Coordinating birthdays and celebrations
  • Managing gifts and cards
  • Ensuring important milestones are recognized

Team & Operational Support

Provide flexible support across the team when needed.

This may include assisting:

  • the House Manager
  • Personal Assistants
  • the Chief of Staff
  • the Executive Assistant

The role exists to help keep the operation running smoothly wherever support is needed.
