Salary: $110,000 – $140,000

Schedule: Full-time, Monday – Friday (40+ hours per week), with flexibility to work evenings, weekends, and additional hours as needed.

Travel: Occasional domestic travel to support the family at additional residences.

Position Overview

A private family office based in West Palm Beach, FL is seeking an experienced, polished, and highly organized Executive Personal Assistant to provide day-to-day support to the principals and assist with the overall management of their busy family lifestyle.

This role supports a couple and requires a proactive, service-oriented professional who can anticipate needs, manage multiple priorities, and communicate effectively with household staff, vendors, and the family office. The ideal candidate is resourceful, discreet, and thrives in a fast-paced private household environment while maintaining the highest level of professionalism and confidentiality.

Responsibilities

  • Manage the principals' personal calendars, appointments, and daily schedules
  • Coordinate domestic travel arrangements, detailed itineraries, and travel logistics for the family
  • Assist with personal errands, shopping, gift purchasing, and special requests
  • Conduct research and gather information to support personal and household projects
  • Process household expenses, reconcile credit card statements, and maintain organized financial records
  • Coordinate vendor payments and assist with tracking household budgets and invoices
  • Serve as the primary liaison with household staff, vendors, contractors, and service providers
  • Assist with managing household schedules and ensuring day-to-day operations run smoothly
  • Coordinate family events, celebrations, and entertaining
  • Prepare correspondence, organize documents, and maintain confidential files
  • Collaborate closely with the family office and other professional advisors
  • Handle ad hoc projects and problem-solve with a proactive, solutions-oriented approach

Qualifications

  • Bachelor's degree required
  • Minimum of 5 years of experience supporting a private principal, UHNW family, or senior executive in a Personal Assistant or Executive Assistant capacity
  • Experience managing complex calendars, travel, and household operations
  • Strong organizational, communication, and multitasking skills
  • Advanced proficiency with Microsoft Office, Apple/Mac products, and modern technology
  • Experience working alongside household staff and family office professionals preferred
  • Professional, polished, and service-oriented with exceptional attention to detail
  • Excellent references from current and previous employers
