A private family office is seeking an experienced and discreet Property Manager to help oversee a portfolio of luxury private residences across the United States and Caribbean, with primary responsibility for properties throughout New England. This person will work in close partnership with another senior property management team member, the family office, local property teams, vendors, contractors, security, finance, and administrative counterparts.
The ideal candidate will bring significant experience managing multiple luxury estates or private residences, along with strong knowledge of facilities, systems, preventative maintenance, vendor coordination, renovations, budgeting, documentation, risk management, and high-touch private service. This role requires a polished, proactive, highly organized professional who can manage both daily property operations and long-term planning across a complex multi-property environment.
This is a hands-on leadership role for someone who is calm under pressure, highly discreet, technically capable, financially fluent, and comfortable traveling frequently throughout New England.
Responsibilities:
- Co-manage a portfolio of luxury private residences, with primary responsibility for properties throughout New England
- Work closely with the family office and local property teams to ensure seamless use and operation of each residence
- Oversee property operations, repairs, utilities, safety, security, grounds, facilities, systems, and general maintenance
- Develop and maintain preventative maintenance schedules across the property portfolio
- Conduct regular walkthroughs to identify, prevent, and resolve property issues
- Manage partial and full renovations, construction projects, capital improvements, and special projects
- Source, vet, contract, supervise, and evaluate vendors, contractors, trades, and specialized service providers
- Serve as a primary point of contact for third-party vendors and service providers
- Manage vendor relationships, service contracts, maintenance agreements, and quality standards
- Coordinate with local property managers to ensure reliable coverage for property-related issues
- Collaborate with the family office and security team on emergency protocols, security systems, risk planning, and property safety
- Maintain accurate property documentation, including manuals, checklists, asset inventories, maintenance calendars, compliance records, and vendor files
- Support documentation related to insurance, permits, regulatory compliance, and risk management
- Create and maintain inventories of physical assets, including art, wine, furniture, equipment, and related household assets
- Partner with family office finance on budgets, vendor payments, invoice review, expense tracking, and reporting
- Monitor property budgets, maintenance costs, vendor expenditures, and capital project expenses
- Communicate clearly with the family office, property administrators, local teams, vendors, and service providers
- Create systems and processes that improve organization, accountability, reporting, and follow-through
- Remain available and responsive to time-sensitive property needs, emergencies, and changing family priorities
- Maintain strict confidentiality regarding the principals, family members, guests, properties, assets, and household operations
Qualifications:
- Minimum of 7 years of experience managing multiple luxury estates or high-end private residences for private families
- Strong experience managing vendors, contractors, trades, and local property teams
- Experience overseeing multiple properties across different locations
- Strong construction management, renovation, capital project, and project management experience
- Knowledge of complex smart home systems, including IT, AV, home automation, HVAC, security, and general maintenance
- Financially fluent, with experience managing budgets, reviewing invoices, reconciling expenses, and negotiating vendor contracts
- Strong leadership skills and experience managing teams across multiple properties
- Highly organized, proactive, detail-oriented, and solutions-focused
- Excellent written and verbal communication skills in English
- Strong technology skills and ability to learn new systems
- Calm, poised, and professional under pressure
- Able to work in a fast-paced, dynamic, service-oriented private environment
- Absolute discretion, confidentiality, sound judgment, and professionalism required
- Knowledge of fine assets, including art and wine, preferred
- Flexible with schedule, including evenings, weekends, holidays, urgent needs, and travel
- Legal U.S. work authorization required
- Valid driver’s license with clean driving record required
- Must be able to successfully complete an in-depth background investigation
