Hands-on Estate Maintenance Manager -- Coral Gables

Our client is seeking a highly experienced HANDS-ON Maintenance Manager to oversee the upkeep and functionality of a premier waterfront estate in Coral Gables. The ideal candidate must have significant experience in electrical, HVAC, and plumbing repairs along with a basic knowledge of construction. This individual will be responsible for ensuring the seamless operation of the estate's facilities and have a minimum of 8 years of hands-on experience in property maintenance, preferably in luxury residences, 5-star boutique hotels or similar high-end environments, and be bilingual in both English and Spanish- verbal and written.  This position reports to the Estate Manager.

Maintenance Oversight and Supervision:

  • Provide technical assessments and recommendations to improve operational efficiency, energy use, and long-term sustainability of the property.
  • Oversee contractors, and vendors, ensuring all work is completed in a timely, efficient, and professional manner, and provide bilingual support (English and Spanish) as needed.
  • Perform regular inspections of all systems (HVAC, plumbing, electrical, etc.) to identify potential issues and address them proactively.
  • Ensure compliance with local building codes, safety standards, and environmental regulations.

  • Create smooth coordination with property management, staff, and contractors to ensure all maintenance activities align with the overall goals of the estate.

  • Display excellent organizational and planning skills, capable of handling multiple priorities under pressure.

Administrative, Planning, Compliance and Budgeting:

  • Maintain a detailed inventory of tools, equipment, and supplies.

  • Develop and implement preventative maintenance programs to minimize property downtime and ensure systems are running optimally.

  • Manage budget expectations in securing quotes as directed with prior approval.

  • Ensure all maintenance activities comply with safety regulations and industry standards.

Key Qualities for Role:

  • Send debriefs to the direct report daily.

  • Track quotes, deposits and payments through Estate Space software.

  • Must live within 30/40 minutes from Coral Gables.

  • Must be computer literate, a plus if you have experience using estate software programs.

  • Ability to work flexible hours, including weekends and after-hours if necessary.

  • Previous experience managing and coordinating vendor maintenance teams.

  • Strong knowledge of systems including HVAC, plumbing, electrical, and general building systems.

  • Must be bilingual in English and Spanish (fluent written and spoken).

  • Minimum of 8 years of experience in luxury property maintenance, with proven track record of maintaining high standards.

  • Excellent problem-solving skills and the ability to prioritize tasks effectively.

  • Troubleshooting mindset with the ability to step in directly when required before calling outside vendors.

  • Strong attention to detail and organizational skills.

  • Serve as the technical point of reference on-site.

  • Ability to pass a comprehensive background check and have excellent verifiable references.
