Estate Manager 

New Hope / Solebury / Bucks County, PA (with travel to NYC)
Full-Time | Onsite, Non-Live-In
$125,000–$150,000 DOE + Full Benefits + 401(k) + Discretionary Bonus

Overview

A high-net-worth family is seeking an experienced Estate Manager / Estate Operations Manager to oversee the day-to-day operations of two private residences: a primary estate in Bucks County, PA, and a secondary apartment in New York City.

This is a senior, hands-on operational role for someone who can bring structure, systems, and calm execution to a fast-moving, high-expectation household environment. The estate is currently in a transitional phase, moving from “start-up mode” into a more defined, long-term operational structure, and requires someone who can help formalize that evolution.

The Estate Manager will serve as the central point of accountability for household operations, staff coordination, vendor management, and property readiness across both locations. This is not a live-in role, but local presence in or near Bucks County is required.


Key Responsibilities

Multi-Property Oversight

  • Manage day-to-day operations across the PA estate and NYC apartment
  • Ensure both residences are consistently guest-ready and family-ready
  • Coordinate logistics between properties, including staffing coverage and turnovers
  • Travel to NYC as needed for oversight, vendor coordination, and property readiness

Household Operations & Systems

  • Build and maintain systems for inventory, supplies, linens, cleaning standards, and household readiness
  • Create and enforce structured checklists and operating procedures
  • Oversee household organization as the estate transitions into a more formal operational structure
  • Maintain high standards for consistency, cleanliness, and preparedness across all areas of the property

Staff Management & Coordination

  • Supervise and coordinate household staff including cleaners, groundskeepers, chefs, nannies, and support personnel
  • Evaluate current staffing structure and recommend long-term optimizations
  • Ensure clear reporting lines and accountability across the team
  • Support scheduling, time tracking, and coordination across multiple departments

Vendor & Project Management

  • Manage all external vendors including maintenance, grounds, construction, and specialty contractors
  • Oversee ongoing and upcoming renovation and improvement projects (including large-scale property upgrades)
  • Coordinate bids, scheduling, follow-ups, and quality control
  • Maintain vendor accountability and performance standards

Household Technology & Administration

  • Oversee household systems and platforms (scheduling, security, payroll tools, inventory tracking, etc.)
  • Support administrative organization including document management, digital systems, and vendor accounts
  • Assist with implementation of household tech tools for tracking, budgets, and operations

Lifestyle & Event Support

  • Support household readiness for guests, events, and family activities
  • Ensure smooth execution of entertaining and short-notice schedule changes
  • Maintain discretion and professionalism in all family and guest interactions

Qualifications

  • 5+ years of experience in estate management, private household operations, luxury hospitality, or family office environments
  • Strong background managing staff and multiple vendors across large or complex properties
  • Proven ability to implement systems, structure, and operational processes
  • Experience managing multiple residences or geographically split properties strongly preferred
  • Comfortable working in evolving environments with shifting priorities
  • Highly organized, proactive, and solutions-oriented
  • Strong communication skills with the ability to manage up and across teams
  • Tech-savvy and comfortable using household management, payroll, scheduling, and inventory systems
  • Must be based in or near Bucks County, PA, or willing to relocate locally (own housing required)
  • Ability to travel to NYC as needed

Compensation & Benefits

  • $125,000–$150,000 annual salary (DOE)

About the Role Environment

This is a dynamic, evolving estate environment with a high level of activity, ongoing property improvements, and a strong existing support team. The Estate Manager will act as the senior operational leader on the ground, working closely with the Chief of Staff to bring consistency, structure, and long-term organization to the household.
