Estate Document Specialist

Position Summary

The Estate Document Specialist is responsible for the creation, organization, standardization, and ongoing management of all estate documentation for ultra-high-net-worth (UHNW) luxury residences. This role ensures that comprehensive, accurate, and accessible house manuals, training materials, SOPs, and operational records are maintained to support seamless estate operations and staff onboarding.

The ideal candidate has extensive experience in UHNW residential environments, understands the complexity of multi-property portfolios, and is highly skilled at translating estate operations into clear, professional documentation. Experience with EstateSpace or similar estate management software is strongly preferred.


Key Responsibilities

Documentation Development

  • Create and maintain comprehensive house manuals for luxury estates, including:

    • Property systems and infrastructure

    • Vendor directories and service protocols

    • Emergency procedures and safety plans

    • Asset inventories and care instructions

    • Seasonal opening/closing procedures

  • Develop Standard Operating Procedures (SOPs) for all departments (housekeeping, culinary, service, grounds, maintenance, security, wellness, etc.)

  • Produce training manuals and onboarding materials for new estate staff

  • Document workflows for events, guest arrivals, and principal stays

Estate Systems & Records Management

  • Organize and digitize all estate records for accessibility and version control

  • Upload and maintain documentation within EstateSpace (or equivalent platforms)

  • Establish standardized naming conventions, templates, and document control protocols

  • Maintain service logs, maintenance histories, warranties, and compliance records

Operational Support

  • Conduct on-site walkthroughs to document property systems and operational processes

  • Collaborate with Estate Managers, Chief of Staff, and department heads to capture best practices

  • Audit existing manuals and update outdated or incomplete content

  • Ensure documentation reflects current vendors, equipment, and procedures

Compliance & Risk Management

  • Document safety procedures, emergency response plans, and regulatory requirements

  • Maintain confidentiality and security of sensitive estate information

  • Support insurance documentation and asset verification processes


Qualifications

Required

  • 5+ years of experience in UHNW luxury residential estate operations

  • Proven experience creating house manuals, SOPs, and staff training materials

  • Strong understanding of multi-department estate workflows

  • Exceptional writing, formatting, and document organization skills

  • High level of discretion and confidentiality

Preferred

  • Experience with EstateSpace or similar estate management software

  • Background in estate management, chief of staff support, or private service operations

  • Experience documenting complex property systems (AV, HVAC, smart home, security, wellness facilities, etc.)

  • Project management experience across multiple properties
