A private couple in Green Hills is seeking a highly organized, proactive Estate Remodel Manager to oversee the day-to-day coordination of a large-scale 6300sq luxury home remodel centered around non-toxic, zero-VOC living principles. This is a unique opportunity for someone who thrives in complex, high-detail environments and enjoys bringing structure, accountability, and momentum to a major residential project.

The ideal candidate is calm under pressure, highly adaptable, solution-oriented, and experienced in managing luxury remodels or custom home builds. This individual will serve as the primary on-site point person, ensuring contractors, vendors, and specialists remain aligned with timelines, household standards, and the overall vision of the project.

The Estate Remodel Manager will work closely alongside the contractor, architects (local and remote), materials specialists, designers (local and remote)  and a third-party environmental mold testing specialist to ensure the integrity of the project and adherence to the family’s non-toxic building standards. This role requires someone who can tactfully communicate with a wide range of personalities while confidently leading conversations, maintaining accountability, and keeping all moving pieces aligned.

The principals are seeking someone with a true ownership mentality — someone who can take this project by the horns alongside the principals, proactively drive progress forward, and operate with urgency, persistence, professionalism, and strong follow-through.

This role requires someone who can confidently communicate with contractors, architects, mold specialists, trades, and vendors while maintaining professionalism, persistence, and calm leadership in a fast-moving environment. The Estate Remodel Manager will also be responsible for scheduling and leading weekly meetings with the principals, contractors, consultants, and specialists to ensure timelines, priorities, and project benchmarks remain on track.

Discussion regarding extension of the position will occur every 3–6 months in order to allow the candidate adequate time to plan for future opportunities if needed. The overall goal is for the Estate Remodel Manager to remain in the role through completion of the project.

Position Details

Location: Green Hills, TN
Commitment: 1 Year
Schedule: Full-Time, Monday–Friday with weekend flexibility as needed
Hours: 40 guaranteed hours weekly with flexibility for project demands
Compensation: $150K 

 

Responsibilities

 

  • Support non-toxic and zero-VOC building initiatives throughout the project

 

  • Develop and maintain a highly detailed Gantt Chart or Excel Spreadsheet project timeline with specific accountability, based on contracts and scope of work. 
  • Ensure project is on track at all times, based on the timeline, and escalate any delays or proposed change of scope immediately to owners
  • Manage all vendor work to the timeline, contracts and scope
  • Track all invoices to ensure alignment with agreed upon scope and ensure all work is approved by the specialists (remediation, contract architect, designer) before approving any payments
  • Oversee the daily coordination of all vendors
  • Maintain active on-site presence throughout the remodel process. You will have an office at the home from which to work daily. 
  • Ensure strict adherence to the material specification. Every day, all materials must be checked against the approved list. 
  • Coordinate and communicate with contractors, architects, vendors, consultants, and specialists
  • Work collaboratively alongside the materials specialist and environmental mold testing specialist
  • Schedule and lead weekly project meetings with principals, contractors, and specialists
  • Ensure timelines, schedules, and project benchmarks remain on track
  • Monitor contractor compliance with household standards, including strict non-smoking policies on the property
  • Coordinate deliveries, supplies, and material management
  • Track project progress, outstanding items, and scheduling updates
  • Maintain organized spreadsheets, project trackers, and Gantt charts
  • Assist with budgeting oversight and vendor coordination as needed
  • Work collaboratively with mold specialists and environmental consultants
  • Problem-solve quickly and proactively as issues arise
  • Assist principals with occasional personal and household errands, including grocery runs, returns, food pickups, and supply coordination
  • Maintain discretion, professionalism, and calm communication in a fast-moving environment
  • Create and organize a Household Manual throughout the duration of the project

Ideal Candidate

  • Extensive experience managing luxury remodels, renovations, or custom home builds from plans to move in
  • Strong understanding of construction timelines and project coordination
  • Highly proficient in spreadsheets, Excel, project management software, and Gantt charts
  • Exceptionally organized and detail-oriented
  • In -depth understanding of how the project should unfold and sequence work and timeline accordingly
  • Strong communicator capable of tactfully managing multiple personalities and trades.
  • Strong communicator with seasoned executive owners seeking to partner with a like minded professional to manage the project
  • Low maintenance, easy to work with, strong initiative and drive but understanding need to listen to team member input and defer to owners 
  • Resourceful, proactive, and solution-focused
  • Comfortable enforcing household and property standards professionally
  • Ability to pivot quickly and adapt within an evolving project environment
  • Calm, polished, highly dependable, and capable of leading with confidence
  • Comfortable handling both large-scale operational responsibilities and smaller personal support tasks
  • Experience working in private homes and with UHNW clients preferred
