Schedule: Approximately 2–3 days per week, with flexibility based on workload and client needs
Work Arrangement: Hybrid. Approximately one day per week in either the White Plains or SoHo office, with the remainder of the work performed remotely.

Position Overview

A boutique family office is seeking an experienced Freelance Administrator to provide operational, administrative, and client service support across a growing portfolio of private client engagements.

This is a non-exclusive independent contractor arrangement for a highly organized professional who enjoys managing multiple priorities, maintaining organized systems, and supporting a fast-paced professional services environment. The successful candidate will operate through their own LLC or incorporated business entity, invoice monthly, and maintain the flexibility to work with other clients.

The workload is expected to average 2–3 days per week initially, with the opportunity for additional work and long-term growth as client engagements expand.

Responsibilities

• Attend meetings, prepare detailed notes, and maintain accurate records across active projects
• Build, organize, and maintain digital filing systems and client documentation
• Review contracts, engagement letters, scopes of work, and related documents, highlighting key terms and action items
• Draft summaries, reports, and scopes of work using traditional and AI-assisted tools
• Support client invoicing, engagement tracking, and administrative workflows
• Assist with corporate record keeping, compliance filings, and coordination with accountants, attorneys, and other advisors
• Track project deadlines, deliverables, and outstanding action items across multiple engagements
• Maintain organized records and ensure documentation remains current and audit-ready
• Provide operational and administrative support across a variety of family office matters
• Handle confidential information with discretion and professionalism

Qualifications

• Prior experience in family office, or professional services environment
• Bookkeeping administration, operations, or project coordination experience strongly preferred
• Experience supporting multiple projects or clients simultaneously
• Highly organized with exceptional attention to detail and follow-through
• Strong written communication skills with the ability to prepare professional client-facing documents
• Comfortable utilizing AI tools and technology to improve efficiency and workflow management
• Ability to work independently with minimal supervision
• Professional, discreet, and accustomed to handling confidential information
• Existing independent contractor, consultant, or business owner preferred
• New York or New Jersey resident with convenient access to White Plains and Manhattan

Requirements

• Must operate through a registered LLC, corporation, or similar business entity
• Must maintain appropriate business insurance coverage
• Professional, punctual, and highly reliable
• Strong communication, organizational, and problem-solving skills
• Ability to manage multiple priorities in a fast-paced environment
• Authorized to work in the United States
