Job Description: Project Manager/Executive Assistant
Location: San Diego, CA (92130)
Hours: 20 guaranteed hours per week
Schedule: Flexible schedule TBD with the client; primarily weekday support
Position Overview:
Our client is seeking a highly organized, proactive, and experienced Project Manager / Executive Assistant to support the operations of his growing real estate portfolio and related business operations. This role will focus heavily on property operations, project coordination, vendor management, and executive support.
The ideal candidate will have experience working with long- and short-term rental properties, property management operations, construction or renovation coordination, and administrative/project management support. This is a hands-on operational role for someone who is highly resourceful, detail-oriented, tech-savvy, and comfortable managing multiple moving pieces independently.
The client currently works with several property management companies and is seeking someone who can initially help oversee and coordinate with those teams, while gradually taking on more direct operational oversight internally over time.
Key Responsibilities:
- Oversee communication and coordination with property management companies and vendors
- Assist with project management across multifamily and single-family rental properties
- Coordinate maintenance, renovations, repairs, and construction-related projects
- Review property reports, invoices, budgets, dashboards, and operational documentation
- Track workflows, timelines, and project deliverables to ensure operations stay organized and on schedule
- Support accounting and financial organization, including expense and invoice tracking
- Conduct occasional local property visits as needed
- Assist with vendor sourcing, scheduling, research, and bid collection
- Provide high-level executive and operational support to help create additional bandwidth for the principal
Compensation:
Starting at $45-$50/hour, but final compensation shall be based on experience.
Qualifications:
Requirements:
- Previous experience in property management, project management, executive support, or real estate operations
- Experience with long-term and/or short-term rental properties strongly preferred
- Familiarity with construction management, renovations, or maintenance coordination
- Strong organizational, operational, and project coordination skills
- Accounting, bookkeeping, or invoice tracking experience preferred
- Ability to work proactively and independently with minimal oversight
- Valid driver’s license and reliable transportation
