A highly successful multi-billion-dollar private investment office in Fort Worth, Texas, is seeking an exceptional Executive Assistant to support a senior executive and broader executive support team within a fast-paced private office environment.

This is an outstanding opportunity for a highly organised, detail-oriented professional who thrives in a dynamic setting and enjoys managing complex priorities across business, personal, and investment-related matters. The successful candidate will work closely with an experienced executive support team responsible for assisting senior leadership with calendar management, travel coordination, operational priorities, research initiatives, and special projects.

The ideal candidate will have previous experience supporting a high-net-worth individual, ultra-high-net-worth individual (UHNWI), family office, entrepreneur, or C-suite executive and possess the ability to anticipate needs, manage confidential information, and execute tasks with precision.

This role requires someone who is proactive, resourceful, technologically capable, and comfortable managing a wide variety of projects across different disciplines. No two days will be the same.


Key Responsibilities

Executive & Administrative Support

  • Provide high-level administrative support within an executive assistant team supporting complex personal and professional schedules.
  • Manage highly detailed calendars, ensuring competing priorities, meetings, commitments, and deadlines are coordinated effectively.
  • Anticipate executive needs and proactively identify solutions before issues arise.
  • Assist with daily operational functions, ensuring seamless execution of business and personal priorities.
  • Maintain confidentiality and exercise exceptional discretion when handling sensitive information.

Travel & Logistics Management

  • Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
  • Demonstrate strong experience managing private aviation arrangements, including aircraft scheduling, flight coordination, passenger requirements, and travel logistics.
  • Manage last-minute changes and resolve travel disruptions efficiently.
  • Prepare detailed travel documentation and ensure executives have all necessary information ahead of travel.

Vendor & Relationship Management

  • Manage relationships with external vendors, service providers, and professional partners.
  • Act as a key liaison between executives, vendors, and internal stakeholders.
  • Coordinate service requests, track deliverables, and ensure high standards are maintained.
  • Assist with sourcing and evaluating new vendors and services as required.

Research, Projects & Special Initiatives

  • Conduct research and develop recommendations on a wide range of business, personal, and investment-related topics.
  • Assist with developing new ideas, projects, and operational improvements.
  • Prepare summaries, reports, presentations, and briefing materials.
  • Support special projects requiring strong organisational skills, attention to detail, and independent problem-solving.

Technology & AI Optimisation

  • Utilise modern technology and AI tools to improve efficiency, productivity, and workflow.
  • Demonstrate practical experience using AI platforms such as:
    • ChatGPT
    • Microsoft Copilot
    • Claude
    • Other AI productivity tools
  • Identify opportunities to automate repetitive tasks, streamline processes, synthesise information, and enhance decision-making.
  • Stay current with emerging technologies and recommend solutions that improve executive support functions.

  • Minimum 5+ years of experience in an executive assistant, personal assistant, or similar role.
  • Experience supporting a UHNWI, entrepreneur, family office, investment professional, or senior C-suite executive.
  • Proven experience managing complex executive calendars and scheduling demands.
  • Strong experience coordinating private aviation and high-level travel logistics.
  • Experience managing vendors and external relationships.
  • Exceptional organisational and administrative skills.
  • Advanced proficiency with Microsoft Office Suite and modern productivity tools.
  • Demonstrated hands-on experience using AI tools to enhance workflows and productivity.

Compensation & Benefits

The successful candidate will receive:

  • Competitive base salary: $120,000 – $140,000 depending on experience
