Estate Manager – Private Family Estate 

Location: The Hamptons, Long Island, NY 
Employment Type: Full-Time, Year-Round 
Reports To: Principal / Family Office 

Position Overview 

UHNW family seeks an experienced, discreet, and highly organized Estate Manager to oversee the operations, construction coordination, maintenance, and staff management of a multi-residence oceanfront estate in The Hamptons. 

The property portfolio includes: 

  • 45,000 sq ft beachfront main residence with seperate guests residences on property

This is a hands-on leadership role requiring exceptional project management, luxury property management expertise, and the highest standards of professionalism and confidentiality. 

Primary Responsibilities 

Property & Facilities Management 

  • Oversee daily operations of all estate residences. 
  • Develop and implement preventative maintenance programs. 
  • Maintain vendor contracts and service agreements. 
  • Conduct regular property inspections. 
  • Ensure all mechanical, electrical, security, and smart home systems operate optimally. 
  • Manage landscaping, waterfront maintenance, tennis court upkeep, and pool operations. 

Staff Management 

  • Hire, train, and supervise household and grounds staff (housekeeping, maintenance, security, seasonal staff). 
  • Develop schedules, SOPs, and performance standards. 
  • Coordinate seasonal staffing increases during peak Hamptons occupancy. 
  • Foster a culture of discretion, professionalism, and excellence. 

Financial & Administrative Oversight 

  • Manage annual operating budgets. 
  • Monitor operating expenditures. 
  • Negotiate vendor contracts and service agreements. 

Security & Risk Management 

  • Oversee estate security systems and personnel. 
  • Implement emergency preparedness plans. 
  • Coordinate insurance inspections and risk mitigation strategies. 
  • Ensure privacy and confidentiality of family and guests at all times. 

Hospitality & Principal Support 

  • Prepare properties in advance of family arrivals. 
  • Coordinate events, guest stays, and special requests. 
  • Maintain five-star luxury hospitality standards. 
  • Act as primary point of contact for Principals regarding estate matters. 

Qualifications 

  • Minimum 10+ years of experience managing UHNW estates (25,000+ sq ft preferred). 
  • Proven experience overseeing large-scale luxury residential construction projects. 
  • Strong knowledge of high-end residential systems (HVAC, AV/IT, smart home, security). 
  • Exceptional organizational and leadership skills. 
  • Strong and well-developed attention to detail. 
  • Established vendor network in the Hamptons or greater New York area preferred. 
  • Discretion, integrity, and professional presence are mandatory. 
  • Ability to be on-call as needed during peak seasons. 

Preferred Experience 

  • Experience managing waterfront or coastal estates. 
  • Background working with Family Offices. 
  • Management certification or related degree. 
  • Proficiency in estate management software platforms. 

Compensation & Benefits 

  • Competitive base salary (commensurate with experience), projected salary range $225k-$275k annually
