Rate: TBD 

Schedule: Core hours Monday–Friday, with occasional evening, weekend, holiday, and travel support are required based on household needs. 

Overview 

We are seeking an exceptional, highly experienced House Manager / Chief of Household Operations to oversee a complex UHNW household with precision, discretion, and strong operational leadership. This individual will serve as the central hub across staff, residences, vendors, schedules, travel, household systems, projects, and financial oversight. 

The ideal candidate is polished, emotionally intelligent, operationally excellent, and deeply service-oriented. They must be able to think several steps ahead, manage multiple priorities simultaneously, and maintain calm control over a fast-moving environment with many parallel workstreams. This role requires excellent judgment, extremely strong follow-through, and the ability to execute at a high level in close partnership with a hands-on, detail oriented principal. 

This is a role for someone who thrives in a detail-driven environment and understands that excellence in a private household means that small things matter, timing matters, and tone matters.

Core Priorities of the Role 

  • Ensure the smooth daily operation of the household across people, property, systems, and schedule
  • Maintain a highly organized, polished, guest-ready, family-ready environment at all times
  • Build and uphold clear systems, standards, SOPs, checklists, manuals, and reporting structures
  • Provide consistent visibility to the principal on priorities, progress, problems, and decisions
  • Protect household professionalism, discretion, and boundaries at every level
  • Keep all operational, staffing, financial, and household “balls in the air” moving without loss of detail or follow-through 

 

Key Responsibilities 

1. Household Leadership & Daily Operations 

  • Oversee day-to-day operations across the primary residence and any additional residences as assigned 
  • Act as the main point of coordination between principals, staff, vendors, contractors, and service providers 
  • Maintain the household at a consistently high operational and presentation standard 
  • Ensure the home is running smoothly across housekeeping, nanny support, chef coordination, maintenance, errands, guest readiness, and family logistics 
  • Conduct daily walk-throughs and proactively identify issues before they become problems 
  • Respond quickly and effectively to emergencies, service failures, schedule changes, and last-minute needs  

2. Staff Management, Training & Accountability 

  • Hire, onboard, train, supervise, and manage household staff 
  • Run bi-weekly payroll 
  • Create schedules that ensure strong coverage while balancing workload and household priorities 
  • Hold staff accountable for performance, follow-through, professionalism, and standards 
  • Conduct monthly staff meetings and regular individual check-ins 
  • Provide direct coaching, feedback, retraining, and performance improvement when needed 
  • Spend time physically working alongside each staff member in their role to understand workflow, identify inefficiencies, and raise standards 
  • Ensure each staff role has a clear job description, SOP, and measurable expectations 
  • Foster a respectful, professional culture while maintaining authority and boundaries 

3. Professionalism, Boundaries & Representation 

  • Maintain a consistently polished, calm, professional demeanor with family members, guests, and staff 
  • Uphold clear interpersonal boundaries with children, teenagers, extended family, and visitors 
  • Model respectful, appropriate, non-familiar conduct at all times 
  • Protect the tone of the household by ensuring staff remain warm and service-oriented without becoming casual, blurred, or overly personal 
  • Exercise strong judgment regarding confidentiality, access, discretion, and family dynamics  

4. Financial Oversight & Weekly Expense Review 

  • Manage weekly household expense reviews so the principal has visibility into how the month is rolling up 
  • Pull transaction reports from credit cards, bank accounts, and other household spending sources 
  • Categorize transactions accurately and consistently using the household’s established system 
  • Maintain up-to-date expense tracking, organize supporting documentation, and flag irregularities promptly 
  • Support budgeting, monthly roll-ups, reimbursements, subscriptions, and household payment workflows 
  • Track recurring expenses, service-provider costs, staffing costs, and project-related spending 
  • Ensure financial records are organized and easy to review 

5. Systems, Manuals & Organization 

  • Lead the development of a comprehensive House Manual 
  • Create and maintain SOPs, task lists, inventory systems, staff reference materials, emergency information, and operational guides 
  • Build structure where needed so the household does not rely on memory, verbal handoffs, or reactive problem-solving 
  • Improve efficiency through organization, documentation, templates, and recurring review systems 
  • Keep digital and physical records organized, current, and easily retrievable 
  • Ensure important household knowledge lives in systems, not only in people 

6. Project & Task Management 

  • Manage a high volume of moving parts simultaneously, often across unrelated categories 
  • Maintain a live task system with priorities, statuses, follow-ups, deadlines, and ownership 
  • Track both immediate action items and longer-range household projects 
  • Ensure nothing stalls, no deadlines are missed, and no key details are dropped 
  • Anticipate bottlenecks and escalate issues early 
  • Handle sensitive and complex household projects with excellent organization and judgment 

7. Vendor, Maintenance & Property Care 

  • Oversee property maintenance, repairs, upgrades, seasonal needs, and contractor work 
  • Manage vendors closely for quality, timeliness, cost control, and accountability 
  • Maintain logs for warranties, service records, repairs, manuals, and household equipment 
  • Coordinate vehicle servicing, registrations, insurance, fueling, detailing, and readiness 
  • Ensure AV/IT, smart home, utilities, and general household systems are functioning properly 

8. Travel, Logistics & Transitions 

  • Assist in the Coordination of family travel logistics, including flights, accommodations, staffing coordination, itineraries, advance planning, and household transitions with the help of overseas assistant and executive assistant. 
  • Manage packing support, shopping, pre-travel preparation, and post-travel resets with housekeeping team. 
  • Ensure residences are fully prepared before departure and upon return 
  • Support temporary staffing, provisioning, and travel-specific household setup when needed 

9. Administrative, Personal & Concierge Support 

  • Manage calendars, appointments, household records, and sensitive family documentation 
  • oversee medical, wellness, school, pet, and personal appointments as needed with overseas assistant. 
  • Oversee shopping, returns, gifting, sourcing, errands, and concierge arrangements 
  • Track birthdays, celebrations, seasonal needs, and family milestones 
  • Handle correspondence, shipments, and document routing with accuracy and discretion 

10. Event Planning & Hospitality Support 

  • Plan and oversee household events, family gatherings, dinners, celebrations, and principal-hosted functions from start to finish 
  • Coordinate all event logistics, including guest lists, invitations, vendor sourcing, rentals, décor, florals, catering, entertainment, staffing, and on-site execution 
  • Ensure events are executed to a high standard, aligned with the principal’s preferences, budget, and level of formality 
  • Track budgets for each event carefully, monitor spending throughout the planning process, and help ensure strong cost control and financial visibility 
  • Manage timelines, run-of-show documents, setup, breakdown, and post-event resets 
  • For larger events, prepare a post-event recap outlining what went well, what could have been improved, and opportunities to strengthen future planning and execution 
  • Support both intimate family occasions and larger-scale entertaining with equal attention to detail, discretion, and hospitality

Required Qualifications 

  • Significant prior experience in a UHNW private household leadership role 
  • Strong staff management experience 
  • Strong financial tracking / household bookkeeping support experience 
  • Excellent written and verbal communication 
  • High emotional intelligence and sound judgment 
  • Experience creating systems, SOPs, and operational manuals 
  • Comfort with Apple ecosystem, google drive, shared calendars, cloud files, and digital organization tools 
  • Ability to travel and remain reachable outside standard business hours
