Personal Assistant to the Family
Location: New York, NY — on-site role, split between the family's residence and the corporate office in Midtown; this is not a remote or hybrid position. About the Role
We are seeking an exceptional, highly experienced Personal Assistant to support a family across multiple areas of daily life in New York City. This is a demanding, high-trust role requiring someone who operates with a genuine 24/7 mentality, full availability, and no hesitation to step in whenever needed. This role oversees the management of four properties and household staff, manages the personal calendars of the primaries, coordinates the schedules and activities of the family's children, manages travel logistics, and serves as the central point of contact for the household's day-to-day operations. The role is on-site, splitting time between the family's residence and the corporate office in Midtown, and requires a high level of professionalism given the office-based component.

Key Responsibilities
House Management (4 Properties)
- Oversee the upkeep, maintenance, and staffing of four family properties
- Maintain full visibility into the status of each property at all times, staying ahead of issues before they arise
- Coordinate with housekeepers, groundskeepers, contractors, and vendors to schedule repairs, seasonal maintenance, and improvements
- Maintain household inventories, supplies, and stocking across all properties
- Manage property-related paperwork, service contracts, and warranties
- Prepare properties ahead of family arrivals (opening/closing homes seasonally, as applicable)
- Serve as point of contact for security systems, alarm monitoring, and emergency issues at each property
- Oversee household staff across all properties, ensuring smooth day-to-day operations
Children's Schedules
- Manage day-to-day scheduling for the family's children, including school, extracurricular activities, appointments (medical, dental, tutoring), and playdates
- Coordinate transportation with family's driver and third-party transportation as needed
- Communicate with schools, coaches, and activity coordinators on behalf of the family
- Track important dates, school events, and deadlines (registration, forms, physicals, etc.)
- Coordinate closely with the family's nanny to ensure seamless day-to-day operations
Travel Coordination
- Plan and book domestic and international travel for the family, including flights, accommodations, ground transportation, and itineraries
- Coordinate logistics between properties (packing lists, staff coordination, transportation between homes)
- Manage travel documentation (passports, visas, health requirements)
- Anticipate and troubleshoot travel issues in real time
- Coordinate with private aviation/charter services, if applicable
Office Support
- Provide general office management support at the Midtown corporate office as needed
- Willingness and readiness to pitch in on office-related tasks beyond core duties is expected and genuinely appreciated
General Administrative & Household Support
- Manage the personal calendars and appointments of the primaries
- Handle correspondence, errands, and personal shopping as needed
- Manage vendor relationships and household budgets/expense tracking
- Maintain strict confidentiality regarding all family and household matters
Qualifications
- Bachelor's degree required
- Minimum 5+ years of experience as a Personal Assistant, with meaningfully more weight given to Personal Assistant experience than Executive Assistant experience; strong preference for candidates from high-caliber private household, UHNW family, or family office settings
- Demonstrated ability to manage multiple properties and complex, fast-moving logistics simultaneously
- Experience coordinating children's schedules required, along with a genuine interest in that part of the role
- Exceptional organizational, time-management, and multitasking skills, with the ability to prioritize under pressure
- Excellent written and verbal communication skills
- Unimpeachable discretion, professionalism, and trustworthiness
- High level of professionalism required, as this role includes regular time in a corporate office setting
- True 24/7 availability and willingness to respond outside standard hours, including evenings, weekends, and holidays
- Based in New York City with strong working knowledge of the city
- Valid driver's license required (personal transportation not required)
- Proficiency with calendar/scheduling tools (e.g., Google Calendar, Outlook) and household management software; proficiency with Notion is a plus
- Willingness to travel domestically and internationally as needed
- Experience with competitive tennis tournament scheduling (serious circuit-level play, not recreational) is a plus
- Strong references from prior principals required
