The Opportunity
A private Principal with a residence and family office in Dallas, as well as a working ranch, is seeking an exceptional Executive Assistant to serve as a trusted partner across personal, business, and estate-related matters. This is a highly integrated role designed for a strategic, detail-oriented professional who thrives in complex, multi-faceted environments and is comfortable operating across locations, priorities, and stakeholders.
The EA will have immediate impact by organizing time, information, and decision-making processes to ensure the Principal’s priorities are protected and executed seamlessly across locations. The role requires regular travel between Dallas and the ranch and close coordination with on-site staff, advisors, and vendors in both locations. Working in close partnership with the Principal, household and ranch staff, and a network of trusted advisors, this role requires impeccable judgment, absolute discretion, and a “no task is too small” mindset paired with strong strategic instincts.
This position is ideal for a polished, analytical, service-oriented professional who can move fluidly between high-level planning and hands-on execution, and who thrives in environments requiring flexibility, anticipation, and ownership.
Key Responsibilities
Direct Support of the Principal
- Own and manage the Principal’s personal and professional calendar, communications, and daily operating rhythm
- Serve as the central point of contact for personal matters, acting as an “air traffic controller” across family office teams, household staff, ranch staff, and external service providers
- Triage requests, invitations, and commitments to ensure the Principal’s time aligns with personal, business, and travel, and business priorities
- Track high-priority initiatives, proactively identifying obstacles and presenting solutions before issues escalate
- Represent the Principal with professionalism, discretion, and authority in interactions with internal and external stakeholders
- Proactively identify, anticipate, and resolve issues before they arise to the Principal’s attention
- Provide clear analysis, options, and recommendations on high-impact decisions
- Coordinate with a variety of personal contacts such as accountants, advisors, and household staff
- Run ad hoc errands and special errands, as assigned
- Maintain strict confidentiality at all times regarding the Principal, family members, gests, activities and properties
Operations, Coordination & Execution
- Build strong, trusted relationships across all components of the Principal’s life to improve responsiveness and efficiency
- Serve as an information funnel, filter, and facilitator, ensuring the right details reach the Principal at the right time
- Review, oversee, and coordinate payment of non-corporate expenditures, invoices, and expense documentation
- Design and actively maintain systems for contacts, document management, preferences, and institutional knowledge
- Utilize technology tools and systems to streamline workflows, communication, and execution
- Support and lead special projects spanning personal, property, lifestyle, and family office needs
Travel & Lifestyle Services
- Plan and manage all aspects of domestic and international personal travel, including commercial and private aviation, lodging, ground transportation, itineraries, and contingency planning
- Coordinate healthcare management, including appointment scheduling, provider communication, and billing
- Accompany the Principal on select trips as needed to provide real-time logistical oversight and problem-solving
Property and Ranch Oversight
- Maintain strong relationships with local communities, neighbors, vendors, consultants, contractors, and regulatory agencies while preserving privacy and confidentiality
- Serve as the Principal’s primary point of contact for property, vehicle, and aircraft needs
- Oversee and manage household vendors across properties, ensuring quality standards and timely completion
- Travel regularly to the ranch to provide on-site leadership, oversight, and alignment with the Principal’s expectations
- Bring a demonstrated interest in sustainability and thoughtful stewardship, with enthusiasm for supporting responsible resource management initiatives across the ranch

- Familiarity with ranch operations and multi-estate property management, with the ability to partner effectively with on-site teams in a ranch environment

- Strong time and project management capabilities; able to understand and adjust to changing circumstances, direction, and personal styles
- Dedicated and flexible with a strong work ethic as no two days will be the same

Education and Experience
- Bachelor’s degree required
- 7+ years of professional experience at the executive or personal assistant level in a corporate setting
- Previous financial services or UHNW experience preferred
- Solid business acumen; experience interpreting and applying various policies to the Partners’ personal interests
- Successfully complete an in-depth background investigation, including a cyber and social media risk evaluation
