Executive/Personal Assistant to UHNW Individual

Our client is seeking a talented and experienced Executive/Personal Assistant (EPA) to join their dynamic team. The successful candidate will play an integral role in supporting the principal’s personal and professional life by overseeing the daily operations of the client's busy schedule and movements. The EPA will work closely with the Principal and key staff members to ensure seamless and efficient execution of tasks and projects.
This role will follow the principal’s whereabouts within San Francisco, with the EPA working from the principal’s office in Jackson Square or home in Pacific Heights, with the occasional work from home on days the principal is travelling and does not need in-person support. The EPA may need to travel to out-of-state residences when the Principal is spending extended time at their secondary residences.
The EPA will own the principal’s calendar which includes both professional and personal meetings and appointments. The EPA will be responsible for preparing the principal’s office for the day, including stocking supplies, etc.
The ideal candidate must possess exceptional organizational skills, excellent judgment, and the ability to exercise discretion in handling confidential matters. A strong work ethic, high energy, and excellent communication skills are essential for this fast-paced and demanding role. The successful candidate must be able to think quickly, make decisions, and remain flexible and adaptable in a constantly changing environment.

Responsibilities:
- Provide personal and administrative support for a wide range of duties and activities. Some of these responsibilities would be shared with other members of the team. This is very much a team-focused environment.
- Oversee the principal's calendars while coordinating with CoS and Family Manager to keep a clear understanding of priorities.
- Coordinate frequent and complex travel itineraries along with the Family Manager.
- Manage the principal’s medical appointments and prescriptions
- Research activities, restaurants, shows, etc., locally and ahead of the principal’s travels.
- Facilitate arrangements for meetings and special events, coordinate and interact with guests, colleagues, household team members, and others.
- Work cooperatively with the family and key staff members.
- Assess overall support needs of the client and manage the workflow appropriately.
- Hands-on duties as needed, general errand running, etc.
- Oversee research and other miscellaneous projects.
- Assist with the planning and executing of special events alongside event planners, household staff and principals to ensure the smooth running of each event; manage details such as guest lists and invitations.
- Support basic IT for principal’s technology devices and systems.
Requirements:
- 5+ years of experience as a Personal Assistant. Executive Assistant experience is a plus!
- Proven track record of complex calendaring skills across multiple timezones.
- Excellent tech skills are crucial in this role! Must possess intuition from a technical standpoint and comfort incorporating AI into workflow.
- Ability to work under pressure with constant deadlines and changing priorities, maintaining a calm demeanor.
- Ability to handle very sensitive and highly confidential issues with diplomacy and discretion.
- Strong verbal, written and telephone communication skills.
- Ability to exercise independent judgment and act in a proactive manner.
- Longevity in past positions, excellent references from past employers.
- Must be local to the Bay Area-- no relocation will be provided for this role.
- Authorized to work legally in the US.
- Valid driver's license, clean driving record.
- Must be willing to travel, domestic and international.
Compensation and Additional Info:
- Full-Time; Monday-Friday: must be flexible to occasionally work after hours or on weekends
- Flexible work location within San Francisco
- Start Date: ASAP
- Compensation: $150k+ depending on experience
