(LEAD) PERSONAL ASSISTANT – MONTREAL, QC (HYBRID)

Our client is seeking an organized, proactive, and highly resourceful Personal Assistant or Lead Personal Assistant to support one of the founders of a dynamic and growing family office based in Montreal. This is an exciting opportunity to join a collaborative team supporting successful entrepreneurs who continue to lead multiple businesses while balancing active personal lives.

Working alongside a close-knit established team of Personal Assistants, this individual will provide day-to-day lifestyle and personal support, helping to ensure the principal's schedule, residences, travel, and personal projects are managed seamlessly. While this role requires exceptional organization and follow-through, it is equally well suited for someone who enjoys solving problems, taking initiative, and finding thoughtful solutions before being asked.

The ideal candidate is adaptable, personable, has excellent leadership abilities, and is naturally service-oriented with excellent judgment and strong organizational skills. Whether managing the team (if you are in the “lead” role), coordinating vendors, overseeing residential projects, planning travel, or handling day-to-day logistics, this individual will become a trusted partner who thrives in a fast-paced and ever-changing environment

Responsibilities

  • Provide comprehensive day-to-day personal support to one of the firm's founders
  • Coordinate personal errands, appointments, and lifestyle logistics
  • Manage residential property needs, including vendor scheduling, seasonal home preparation, maintenance coordination, and household projects
  • Build and maintain relationships with household vendors and service providers
  • Process vendor invoices and ensure payments are submitted accurately and on time
  • Coordinate domestic and international business and personal travel, including flights, accommodations, ground transportation, and detailed itineraries
  • Assist with calendar coordination and scheduling as needed
  • Support personal projects and special requests while managing multiple priorities simultaneously
  • Coordinate office lunches, deliveries, purchases, and other day-to-day administrative needs
  • Work collaboratively with the Personal Assistant team to provide seamless support across the principals when needed
  • Anticipate needs, solve problems proactively, and ensure every detail is handled with professionalism and discretion
  • Maintain the highest level of confidentiality at all times

Qualifications

  • Approximately five or more years of experience supporting an executive, entrepreneur, principal, or UHNW individual in a Personal Assistant, Executive Assistant, Family Office, or similar support role
  • Exceptional organizational skills with outstanding attention to detail
  • Strong problem-solving abilities and a proactive mindset
  • Excellent communication and interpersonal skills
  • Ability to prioritize multiple responsibilities while remaining calm under pressure
  • Comfortable working independently while collaborating closely with a small team
  • Professional, polished, and service-oriented approach
  • Tech-savvy with strong administrative and organizational abilities
  • Valid driver's license and authorization to work in Canada

Preferred Experience

  • Experience supporting entrepreneurs, founders, executives, or principals
  • Exposure to residential operations, vendor management, or household coordination
  • Experience within a family office, private office, or fast-paced entrepreneurial environment
  • Interest in growing into a leadership role over time

Location: Montreal, Quebec. This is a hybrid position requiring approximately one to two days per week in the office, with the remainder of the time spent working remotely or out in the field managing errands and supporting the principal's daily needs.

Schedule

  • Full-time; typical office hours are Monday through Friday, 9:00 a.m. to 5:00 p.m.
  • Flexibility to provide occasional support outside of standard business hours when the principal is traveling internationally

Compensation and Benefits

 CAD $70,000–$90,000, depending on experience and qualifications, along with a comprehensive benefits package.
