Miami Beach, FL | Multi-State Residential Portfolio

We are seeking an experienced Director of Residences to oversee the operations, maintenance, and continuous improvement of a portfolio of ultra-luxury residences located on the East Coast, to be based in Miami Beach, FL.

This is a highly visible, hands-on leadership role requiring a unique blend of estate management, project oversight, hospitality, and facilities expertise. The ideal candidate is equally comfortable managing a major renovation, coordinating a principal arrival, leading emergency preparedness efforts, and developing high-performing property teams.

Key Responsibilities

Estate Operations

  • Maintain overall responsibility for the condition, readiness, and day-to-day operations of all residences.
  • Establish and uphold operating standards, procedures, and service protocols across the portfolio.
  • Conduct regular inspections, proactively identify issues, and ensure timely resolution.
  • Coordinate seasonal transitions, principal travel, guest visits, and special events.
  • Maintain comprehensive property records, inventories, warranties, vendor information, and operational documentation.

Capital Projects & Property Improvements

  • Lead all phases of capital projects, renovations, and property improvements from planning through completion.
  • Develop budgets, timelines, and project scopes; monitor progress and manage approved expenditures.
  • Serve as the principals’ representative with architects, designers, contractors, and consultants.
  • Maintain project tracking systems and provide regular updates to leadership.

Vendor & Maintenance Management

  • Build and manage a best-in-class network of contractors, service providers, and specialty vendors.
  • Oversee preventive maintenance programs covering all building systems, grounds, pools, docks, security systems, and specialty assets.
  • Manage inspections, regulatory compliance, and emergency repairs.
  • Review proposals, contracts, invoices, and change orders while ensuring quality, accountability, and cost control.

Safety, Security & Emergency Preparedness

  • Develop and maintain emergency response plans for all residences.
  • Lead storm preparedness efforts, including hurricane readiness for Florida properties.
  • Partner closely with security teams to oversee access control, surveillance systems, and life-safety protocols.
  • Serve as the primary operational contact during property-related emergencies.

Vehicles & Estate Assets

  • Oversee maintenance, registration, insurance, and readiness of all estate vehicles and equipment.
  • Coordinate management of marine assets and dock operations where applicable.
  • Maintain service schedules, records, and replacement planning for estate equipment and specialty assets.

Team Leadership

  • Recruit, train, develop, and manage household and property staff across all locations.
  • Foster a culture of accountability, discretion, service excellence, and proactive problem-solving.
  • Ensure staffing levels appropriately support principal, guest, and operational needs.

Qualifications

  • 10+ years of leadership experience in estate management, luxury residential operations, hospitality, or related environments.
  • Significant experience managing multiple high-end residences for UHNW principals.
  • Strong knowledge of residential construction, building systems, preventive maintenance, and capital projects.
  • Proven ability to lead teams, manage vendors, and oversee complex operations across multiple locations.
  • Exceptional organizational, communication, and project management skills.
  • Financially savvy with experience managing budgets, contracts, and vendor negotiations.
  • Comfortable producing executive-level reports and maintaining detailed operational systems.
  • Willingness to travel regularly between properties and respond to urgent matters outside traditional business hours.
  • Proficiency with modern workplace and project management tools.

Preferred

  • Luxury hospitality background (Forbes Five-Star, Leading Hotels of the World, or similar).
  • Experience with marine operations and vessel management.
  • Familiarity with New York co-op, condominium, and landmark property requirements.
  • PMP certification or equivalent project management training.
  • Bilingual English/Spanish.
