About this Role:

As Executive Personal Assistant to the Principal, you will serve as a trusted right hand and close partner across both the professional and personal dimensions of the Principal's life. This is a role built on discretion, reliability, and anticipation—one in which you will help create the structure, calm, and clarity that will allow the Principal to continue to lead effectively and focus on scaling her business. You will operate as an extension of the Principal, bringing order to competing priorities, smoothing the flow of daily life and work, and ensuring that both professional commitments and personal matters are handled with care and confidentiality. Above all, this position calls for someone thoughtful, proactive, and adaptable—an indispensable partner who thrives on making things run seamlessly as the Principal focuses on the next stage of growth for her businesses. 

RESPONSIBILITIES 

Executive Support:

  • Serve as a right hand to the Principal, managing a well-organized professional calendar (with a lighter layer of personal commitments)—prioritizing what matters, resolving conflicts, and protecting the Principal's time and focus while maintaining healthy working boundaries.
  • Coordinate and prepare the Principal for meetings, conferences, speaking engagements, and multi-party calls (virtual and in person), including agendas, briefing materials, background research, and follow-up tracking.
  • Partner closely with the Principal on growth and scaling initiatives—researching opportunities, organizing information, tracking priorities, and helping translate strategic goals into clear, actionable plans.
  • Help build and maintain reporting structures and oversight rhythms across existing divisions of the Principal's business—gathering updates from division leads and preparing consolidated summaries so the Principal has clear visibility into the business.
  • Develop and prepare executive presentations, board decks, strategic briefing materials, and other high-level documents for meetings with investors, partners, clients, and senior leadership.
  • Coordinate board and leadership meeting logistics, materials, minutes, and action-item follow-through.
  • Manage recurring operational tasks, administrative workflows, and follow-up so priorities stay on track as the business scales.
  • Serve as a trusted point of contact and thoughtful gatekeeper, managing communications (calls, email, correspondence) on the Principal's behalf with discretion, professionalism, and sound judgment.
  • Coordinate smoothly across internal teams, external partners, advisors, vendors, and service providers.
  • Liaise with travel advisors to coordinate the Principal's travel, including complex domestic and international arrangements, in partnership with industry partners, service providers, agents, and the broader team—handling itineraries, accommodations, visas, and dietary-aware planning.
  • Provide administrative support to the finance team on expense tracking, invoice processing, and payables, in coordination with the CFO.
  • Coordinate and track contracts, engagement letters, and vendor agreements—managing renewals, deadlines, and records—in coordination with the Principal's legal and financial advisors.
  • Support onboarding and day-to-day coordination of administrative team members, in partnership with senior leadership.
  • Coordinate with vendors and service providers to keep projects on schedule and within budget, escalating issues as needed.
  • Take a lead role in event planning and coordination, ensuring thoughtful, well-organized execution—from intimate gatherings to formal and business events.
  • Maintain organized records management and information systems for both business and confidential matters.
  • Support the Principal in overseeing the marketing team and its initiatives, including social media coordination, content input, and helping maintain the brand's digital presence across travel, culture, and lifestyle.
  • Maintain the highest standards of confidentiality and discretion when handling sensitive business, personal, and household information.

Personal Support:

  • Help oversee the smooth day-to-day running of two residences (Westport, CT and New York City), coordinating schedules, maintenance, and household needs across both homes.
  • Create and maintain a household operating manual for both residences—documenting routines, vendors, systems, protocols, and standards so each home runs smoothly.
  • Coordinate and oversee household staff, including nannies and chefs, supporting consistent standards of quality and discretion.
  • Support the children's schedules and logistics, liaising with the boarding school in New Hampshire and the preschool in New York City on calendars, travel, events, and paperwork.
  • Maintain an annualized family health calendar—medical, dental, and self-care check-ups for the Principal and the children, plus annual veterinary visits for the three cats (coordinating with the cat sitter as needed).
  • Manage personal appointments, errands, correspondence, and RSVPs.
  • Support personal finance and administrative matters—household budgets, payables, and household staff payroll—and track insurance, contracts, and key deadlines in coordination with the Principal's advisors.
  • Collaborate with the METTA travel team in arranging personal and family travel, including itineraries, accommodations, packing, and dietary-aware planning.
  • Plan family events, celebrations, and holidays across both homes.
  • Arrange home maintenance, renovations, and repairs, coordinating with vendors and contractors.

Employment Terms:

Compensation. You will be paid an annual salary of $125,000, payable bi-weekly in accordance with the company's standard payroll practices, less applicable taxes and withholdings.

Health stipend. You will receive a health stipend of up to $6,000 per year ($500 per month) toward the reimbursement of qualified health expenses, administered through the company's payroll provider upon submission of receipts.

Reporting line. You will report directly to the Principal of Metta Management.

Schedule. This position generally follows a hybrid schedule. When the Principal is in Westport, CT, you will work onsite three days per week and remotely two days per week. When the Principal is in New York City, you will work onsite two days per week and remotely three days per week.

Availability. Standard working hours will be 9:00 a.m. to 6:00 p.m. EST, with the reasonable flexibility this role occasionally requires. Recognizing the nature of executive and personal
