Position Personal Assistant / Operations Manager
Location Floyds Knobs, Indiana
Schedule Full-Time | Hybrid (Combination of In-Person & Remote Support) Flexible scheduling required. The role may include variable hours depending on projects, appointments, travel coordination, and family logistics.

Overview This role has a dual focus around providing internal logistics and operations oversight for a small business (less than 20 employees/contractors), while also functioning as the personal assistant for the owner of the same company.
This role is ideal for someone who thrives in a dynamic environment, enjoys wearing many hats, and takes pride in quietly helping life run smoothly behind the scenes. The ideal candidate is calm under pressure, detail-oriented, adaptable, trustworthy, and capable of independently managing a blend of administrative, logistical, and personal assistant responsibilities with minimal oversight. This role focuses heavily on reducing day-to-day operational overhead, streamlining systems, and allowing the principal to remain focused on higher-level priorities, creative work, family, health, travel, and long-term projects. The environment is creative, fast-moving, and occasionally unconventional. The ideal candidate should be comfortable supporting a lifestyle that includes entrepreneurship, fitness/wellness scheduling, travel planning, creative projects, and evolving priorities.
Key Responsibilities Administrative Support
- Participate in internal company communication channels (Slack, email, shared systems) as needed to assist with coordination, follow-through, and operational visibility
- Manage incoming mail (physical and electronic), for some general inboxes
- Reciept and delivery of key documents (legal, financial) from local partners
- Organize logistics for meetings and travel
- Handle general administrative support for ongoing personal and business projects
- Maintain organized records, files, and documentation
- Assist with scheduling, reminders, follow-ups, and calendar management
Operational Support
- Identify and address operational needs, working alongside internal business management and trusted advisors as appropriate
- Coordinate with accountants and company management to ensure that payroll, accounts payable/receivable transactions, taxes, and the like are processed properly.
- Work alongside company management in the set up and management/maintenance of employee benefits and other legal obligations for the company (documentation and the like)
- Help streamline routines, systems, and personal workflows
- Act reliably and proactively and be capable of managing a wide range of responsibilities independently
Personal Assistant Responsibilities
- Coordinate appointments, scheduling, and day-to-day logistics
- Run errands and assist with personal tasks such as dry cleaning, returns, grocery coordination, and household organization
- Assist with gifting, reservations, travel arrangements, event coordination, and experience planning
- Help coordinate household vendors, maintenance, recurring services, deliveries, and home organization systems
- Assist with organization during future home transitions and setup projects
- Provide occasional local transportation and logistical support as needed
- Assist with vehicle-related logistics such as maintenance scheduling, service appointments, registration coordination, and related errands
Ideal Candidate
- Previous experience as a Personal Assistant, Executive Assistant, House Manager, or Operations Coordinator preferred
- Experienced with payroll/payables/receivables and similar.
- Highly organized with excellent follow-through
- Resourceful, proactive, and capable of working independently
- Calm, emotionally mature, and solutions-oriented
- Able to communicate in a professional, yet approachable manner with a variety of internal roles
- Tech savvy and comfortable managing email/calendar systems, Slack, shared digital tools, and operational workflows
- Comfortable in a hybrid role requiring both remote and in-person support
- High level of discretion and confidentiality
- Comfortable adapting to changing priorities and schedules
