EXECUTIVE ASSISTANT

An Uptown Manhattan family is seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support across personal, household, and administrative responsibilities. This individual will serve as a trusted right hand, ensuring the Principal’s daily life operates seamlessly through exceptional execution, anticipation of needs, and a polished, professional presence.

Key Responsibilities

Executive & Administrative Support

  • Manage complex calendars, appointments, and daily logistics with precision.
  • Handle correspondence on behalf of the Principal, including email, text, and calls.
  • Track expenses, code receipts, and process invoices accurately.
  • Create and maintain detailed spreadsheets for events, travel, staff assignments, and household operations.
  • Provide general administrative support while maintaining organization across all facets of the Principal’s life.

Event Coordination

  • Plan and execute social engagements, formal dinners, and private events from start to finish.
  • Develop guest lists, manage invitations, and track RSVPs.
  • Coordinate accommodations, staffing, and logistics for events.
  • Provide on-site support to ensure seamless execution and elevated guest experiences.

Travel Coordination

  • Arrange and book all travel, including flights, accommodations, transportation, and activities.
  • Prepare detailed itineraries and travel documents.
  • Assist with packing and ensure all necessary items are organized.
  • Oversee luggage and logistics for family and guests, providing on-the-ground support as needed.

Household & Personal Support

  • Run personal errands and assist with day-to-day needs.
  • Oversee vendors, contractors, and household service providers.
  • Assist with household organization and operations.
  • Act as a point of contact for family members, staff, and guests.

Qualifications

  • 5+ years supporting a private family or HNW/UHNW principal.
  • Demonstrated expertise in calendar management, travel coordination, and event planning.
  • Exceptional organizational skills with meticulous attention to detail.
  • High level of discretion, professionalism, and emotional intelligence.
  • Ability to multitask and adapt in a fast-paced, dynamic environment.
  • Tech-savvy: Mac, Google Suite, Microsoft Office.
  • Flexible schedule with willingness to work evenings, weekends, and travel as required.

Schedule
Monday–Friday, 7:00am–3:30pm, with flexibility required to accommodate family schedule, travel, and events.
