Executive Personal Assistant / House Manager
A successful, high-profile executive is seeking an experienced Executive Personal Assistant / House Manager to serve as her right hand, managing her personal, professional, and household affairs across two residences (Upper East Side and the Hamptons). She has a full, frequently shifting schedule and needs someone who can operate with a high degree of self-direction — coordinating her schedule and travel, managing the homes and their contents, supervising any vendors or household staff, and anticipating needs before being asked.
Candidates should be comfortable working for someone who moves fast, expects proactive problem-solving, and values efficiency and modern tools (including AI) to keep her household running as smoothly as her business. The ideal candidate is highly organized, uses excellent discretion and independent judgment, and genuinely enjoys being part of someone else's world. What makes this role special is the access and exposure that comes with it: real relationship-building, real networking, and a front-row seat to a genuinely interesting life.
Perks
- One person to report to. No competing priorities, no committee — expectations are clear and consistent.
- Work from a beautiful home, not an office — this is not a desk job.
- Extraordinary access and networking. You'll regularly interact with the Principal's personal and professional network, which includes some of the most accomplished and influential people across a range of fields.
-
Global travel is part of the role, with opportunities to see the world.
-
Real learning opportunities along the way — exposure to art collecting, investing and stock market fundamentals, cryptocurrency, biohacking and wellness optimization, and more.
-
A long-term relationship, not a transactional job. The Principal is looking for a long-term relationship — once the candidate proves themselves, they become part of her family.
- No pets in the household.
Schedule & Availability
-
Core schedule: Weekdays, generally 8:30 a.m.–6:30 p.m. but availability after hours including on weekends and holidays for questions and support is required.
-
Travel: Up to roughly 10 weeks per year, with trips of varying length. This may include staying at either residence while the Principal travels.
- Vacation: 2 weeks paid vacation/year plus 5 paid sick days. Vacation timing is coordinated together in advance so it doesn't collide with the household's busier periods.
Key Responsibilities
Calendar, Travel & Executive Support
- Own the Principal's calendar end to end — appointments, scheduling, and resolving conflicts before they surface.
- Plan and book domestic and international travel, with detailed, thoughtful itineraries.
- Pack/unpack, label, organize, and photograph packed items for trips; troubleshoot last-minute changes in real time.
- Maintain the Principal's contacts and manage personal correspondence and mail.
- Handle gifting, personal shopping, returns, and special requests with taste.
- Secure reservations, event access, and other lifestyle arrangements.
- Coordinate all private transportation.
Household Management (Both Residences)
- Supervise household operations across both properties — vendors, service providers, and any household staff.
- Build and maintain household systems, checklists, and inventories so both homes run smoothly without the Principal needing to ask.
- Maintain detailed inventories of both homes, logging receipts (e.g., via Sortly) and coordinating insurer appraisals for valuable items.
- Manage the Principal's wardrobe, including upkeep of the household's wardrobe system (e.g., Whering).
- Manage insurance matters for the homes, vehicles, and other valuables.
- Troubleshoot computers, TVs, A/V equipment, and other electronics.
- Write a brief End of Day update each workday on tasks completed and in progress.
Financial & Administrative
- Maintain personal financial records: bookkeeping, expense tracking, and budget monitoring.
- Execute stock trades exactly as directed, in writing, by the Principal.
- Track and reconcile petty cash.
Events & Lifestyle
- Plan and execute private dinners, parties, and events, including vendor sourcing and on-site supervision.
- Coordinate the household's annual holiday card mailing — photoshoot logistics, printing, and on-time mailing.
- Run errands and handle shopping as needed.
