Full-Time Personal Assistant / Estate Coordinator

An ultra-high-net-worth family based in Indian Creek, Miami Beach is seeking a top-tier Personal Assistant / Estate Coordinator to support the seamless management of their private residence and expanding lifestyle. This is a dynamic, hands-on role for a polished, proactive professional who thrives in a fast-paced, high-expectation environment.
The ideal candidate will take a leadership role in overseeing multiple residences, onboarding household staff, and assisting with the establishment of a family office, while acting as a trusted right hand to the principals.
* Oversee and coordinate operations across multiple private residences
* Lead the onboarding, training, and supervision of household staff, including housekeeping team
* Act as a liaison between the family, builders, vendors, and contractors to finalize and close out the newly constructed estate
* Assist in the setup and day-to-day support of a newly established family office
* Manage schedules, calendars, and personal logistics for the principals
* Coordinate household systems, inventories, and service standards to ensure a luxury-level environment
* Handle vendor management, service appointments, and household budgets as needed
* Anticipate the needs of the family and proactively problem-solve with discretion and efficiency
* Support travel coordination (domestic and international) as needed
* Maintain strict confidentiality and professionalism at all times
* Highly polished, discreet, and experienced working in UHNW/private household environments
* Proven experience managing fully staffed homes and/or multiple properties
* Strong leadership skills with the ability to manage and motivate household teams
* Experience working alongside builders, designers, and vendors during home completion is highly preferred
* Familiarity with family office operations is a strong plus
* Exceptionally organized with strong attention to detail
* Flexible and adaptable with a “24/7 mentality”, while maintaining professionalism and boundaries
* Tech-savvy and comfortable managing multiple priorities simultaneously
* Strong communication skills with a calm, solutions-oriented approach
* This is a critical, high-visibility role requiring discretion, loyalty, and long-term commitment
* The family is in the final stages of completing their newly built estate, with move-in anticipated in June
* The right candidate will play an integral role in shaping the structure and standards of the household and family office
