Residence Management and Duties:
• Seamlessly run multiple dwellings at the location to minimize impact on Principals and act as point
person on daily estate functions
• Maintain interior and exterior of the property to the highest standards
• Walk properties regularly to ensure house and garden systems are functional
• Work with Landscape Designers and Principal to realize the overall Master Plan for the property
• Use horticultural knowledge to select the best plants for the property and the space
• Arrange seasonal activities such as mowing, haying, leaf collection, snow plowing etc.
• Select new or manage existing household vendors and ensure that all paperwork is up to date
• Accompany any vendors/maintenance personnel inside the house
• Manage groundskeepers and maintenance crews and schedule workers at times that do no interfere
with Principals’ time at the property
• Act as point person on the ground for any construction or improvement projects and report any
issues to Principals
• Oversee property security, including monitoring services, cameras and other security systems. Build
familiarity with home security operations/personal protection and liaise with key parties
appropriately.
• Develop and maintain schedule of maintenance to be performed on weekly, monthly, quarterly,
semi-annual and annual basis
• Oversee any housekeepers on the premises
• Attend to the day-to-day upkeep and maintenance of livestock on the premises
• Maintaining and harvesting vegetables and fruit from the garden for the family’s consumption
• Arrange, confirm, reschedule and follow up on appointments for service providers
• Create and maintain Household Manuals and inventories for the necessary care and maintenance of
all furniture, art, appliances, and equipment, forward copies to the home office
• Work with Family Office as needed to provide accurate inventory lists for insurance vendors
• Know the residences thoroughly enough to predict maintenance issues and communicate large
projects to the Principals and the Family Office
• Bring all large repairs and expenses for approval by Principals
• Ensure that everything is in proper working order when the family is in residence
• Ensure any automobiles or equipment are properly maintained and that the registration and
insurance documents are up to date. Inform home office at least 30 days prior to the documents
expiring
• Maintain a good working relationship with neighbors and the local community
• Other duties as assigned
Animal, horticultural and other farm related experience highly desired. Spanish language also desired.
Weekend availability is required for 60% of the year. Live in is required in a seperate cottage on property.
Minimum Skills, Characteristics and Experience:
• Minimum 5-10 years of experience working in a similar job
• Have working knowledge of physical house systems including smart home systems, HVAC,
electrical, plumbing, pool, internet, a/v equipment.
• Able to work legally in the U.S., valid driver’s license and clean driving record.
• Able to pass a thorough background investigation.
• Proficient in modern technology environments including knowledge of or willingness to learn: iCal,
Apple, MS Office Suite, Google Calendar, Drop Box, Bill.com, Nines Living software and Expensify.
• Ability to work autonomously and make executive level decisions.
• Highly organized with the ability to manage multiple tasks, strategically prioritize them, and analyze
risks and opportunities.
• Ability to recognize preferences and expectations of Principal(s) and communicate effectively.
• Proven time-management skills with an ability to prioritize and handle multiple tasks and work in a
fast-paced environment.
• Ability to interface effectively with all levels of staff
• Trustworthy and honest, able to always act in the best interests of the Principal
• Accountability, flexibility, and a “can do” attitude.
• Must promote and ensure privacy and confidentiality in all matters.
