Estate Manager – UHNW Family / Founders
Location: Los Gatos, CA
Schedule: Monday through Friday, approximately 9:00 AM to 5:00 PM, with flexibility as needed
Compensation: Competitive and commensurate with experience

An ultra high net worth entrepreneurial family is seeking an experienced, highly organized Estate Manager to oversee the full operations of a large scale private estate in the Los Gatos area, including surrounding land and ancillary assets. The family is kind, respectful, and values long term partnership, while also operating at a very high level and pace. They are seeking someone who is deeply proactive and anticipatory in their approach, rather than reactive, and who takes genuine ownership of their role.

This is a senior, hands on leadership role responsible for the seamless day to day management of the property. The Estate Manager will oversee staff and vendors, manage systems and financial workflows, and ensure continuity of operations, particularly during periods of principal travel. The ideal candidate brings strong structure, sound judgment, discretion, and a calm, solutions oriented approach, allowing the principals to remain informed without requiring constant oversight.

This role requires someone deeply organized, proactive, and capable of building and maintaining clear processes, documentation, and systems to support a dynamic property and lifestyle.

Estate Overview
Expansive estate spanning multiple structures and acreage
Main residence, guest accommodations, and on site office
Additional assets including land use and specialty features
Vehicle fleet and aviation coordination
Active property with ongoing maintenance, operational, and logistical needs

Core Responsibilities
Provide full operational oversight of the estate, ensuring consistency, efficiency, and high standards of service
Lead, manage, hire, and develop household and estate staff, including scheduling, coverage, and performance management
Act as the primary point of contact for vendors and service providers; oversee contracts, renewals, and ongoing relationships
Oversee estate level financial management including budgeting, approvals, forecasting, and expense tracking
Coordinate private aviation logistics including scheduling, maintenance oversight, and related documentation
Manage vehicle fleet including acquisition, maintenance, registration, insurance, and tracking
Maintain detailed estate documentation including SOPs, manuals, vendor records, inventories, and digital files
Ensure all systems, records, and workflows are organized, current, and easily accessible with a strong emphasis on digital continuity
Safeguard and manage physical and financial assets with discretion and accountability
Proactively identify inefficiencies and implement improvements across operations and systems
Ensure seamless estate operations during principal travel, providing clear communication and peace of mind

The successful candidate will take full ownership of estate operations, acting as a trusted steward of the property, people, and assets, and ensuring the estate runs smoothly, consistently, and at the highest level at all times.
