Position Summary

The Operations Manager is responsible for the overall management, maintenance, and seamless operation of a private estate and its associated properties. This role emphasizes leadership, discretion, and the ability to deliver elevated service and hospitality standards. The Operations Manager oversees household staff, vendors, and projects, ensuring that all aspects of the estate are run efficiently, securely, and to the highest level of quality.

Key Responsibilities

Property & Operational Oversight

  • Direct and oversee daily operations of the estate, including grounds, residences, and facilities
  • Maintain estate manuals, household systems, and property documentation
  • Develop and manage budgets, property schedules, and seasonal readiness plans
  • Conduct regular inspections to ensure properties are maintained at the highest standard

Staff Leadership & Coordination

  • Hire, train, and supervise household staff, including housekeepers, groundskeepers, and other team members
  • Develop staffing schedules, performance reviews, and training plans
  • Promote clear communication, accountability, and teamwork across all household roles

Hospitality & Principal Support

  • Anticipate and accommodate principal and guest preferences with discretion
  • Coordinate and oversee events, travel logistics, and special occasions hosted on the estate
  • Ensure seamless, concierge-level experiences for all residents and visitors

Vendor & Contractor Management

  • Serve as primary contact for vendors, contractors, and service providers
  • Negotiate contracts, schedule work, and ensure quality service delivery
  • Maintain vendor relationships and source new service providers when necessary

Project & Financial Management

  • Plan and oversee renovation, construction, and maintenance projects from inception to completion
  • Track budgets, timelines, and deliverables for all estate-related projects
  • Provide regular reporting to the principal and/or family office

Documentation & Systems

  • Maintain accurate household manuals, SOPs, and task lists
  • Keep records of inventories, provisioning standards, and service schedules
  • Update and refine documentation as household needs evolve
