Overview
We're looking for a sharp, engaged part-time personal assistant to support a private household across two homes (West Village in fall/spring, Encinitas in winter/summer). The role spans personal logistics, household operations, and management of two rental properties.
The right person is smart, proactive, and has strong follow-through and genuinely enjoys the variety this role offers. You'll work alongside the lady of the house, so warmth, good judgment, and the ability to click personally matter as much as the resume. Mornings will often be spent together, so we're looking for someone who's great company.
This is a long-term role for someone who wants to be a true right hand - anticipating needs, running point on the details, and making daily life run smoothly. Strong people and writing skills matter: you'll also be the friendly, professional face of our rental properties, and keeping guests and tenants happy directly shapes our reviews and bottom line.
Core Responsibilities
Personal Assistant / Lifestyle Management
- Act as right hand for day-to-day life logistics
- Anticipate needs and reduce mental load
- Handle errands, returns, and shopping
- Book and coordinate travel
Household Management
- Light housekeeping and home resets
- Daily dog walks and pet care (one dog, one cat)
- Manage household inventory (groceries, supplies)
- Coordinate vendors (cleaning, maintenance, deliveries)
- Pack and unpack for travel and seasonal moves
- Manage vet appointments and pet-related needs
- Support organization projects and systems
Property Management
- Help with managing one vacation rental and one long-term rental
- Set up and continually update new vacation rental website and social media acount
- Provide warm, responsive hospitality - the kind that earns 5-star reviews
- Help manage direct bookings (VRBO) - door codes, guest access, and troubleshooting issues as they come up
- Support turnovers by coordinating with cleaners and vendors
- Handle tenant requests and maintenance coordination for our long-term rental
- Keep both properties organized and operational
Nice to Have
- Wellness/fitness-oriented support (For Estee)
- Light meal prep or cooking skills
- Strong housekeeping skills (Hours can be added for this)
- Companionship (for Estee) who has a light, invisible disability called Ehlers-Danlos syndromes (EDS)
- It would be great if you have aother part-time, remote position or a side hustle.
Schedule
- Roughly 20 hours/week, ideally Mon–Fri mornings (8am–12pm)
- Additional evening or weekend dog-walking hours available if of interest
- Flexibility to work onsite and remote based on responsibilities and household needs
- Willingness to travel with the family between New York and California seasonally
Compensation $40–$50 per hour, based on experience
Requirements
- 2+ years in a similar role (Personal Assistant, House Manager, Executive Assistant, or similar)
- Flexible schedule and ability to travel seasonally between homes
- College degree preferred
- Non-smoker
About us
We're a family of four. Paul is the CPO at Squarespace. He works from home 2 days a week in NYC and full-time when we're in Encinitas. Estee used to run a travel agency -www.luxuristtravel.com , wrote a book called Your Travel Bucket List, and has been facilitating self-development workshops and women's circles for 20+ years. Our daughters both work full-time: Chloe (26) lives with us in the NYC apartment, and Makayla (23) lives in Brooklyn. They try to join us in Encinitas when they can work remotely. We also have a sweet, 65lb dog named Daisy and Bloosom is our cat.
We're ambitious and detail-oriented but love to have fun and are quite casual and progressive. Everyone says we're very warm and down to earth. We treat everyone well, with respect and compassion. We aim to make you feel at home.
Current Traveling Schedule
Estee leaves for Europe May 4th and Paul on May 15th- we return June 5th to NYC
We are in the Encinitas house July 5th to the last week of August. Animal with come too.
August 31-NYC to France then back to NYC (will need someone to petsit) until approx Sept 15th
In NYC until after Thanksgiving then back to Encinitas until the spring.
